Appointment Statuses

Understand mobile appointment statuses and how to update them correctly throughout each stage of the job.

The schedule is central to a job management system. Combining mobile app workflows with effective management ensures businesses operate effectively and maximise profit.

Mobile app workflows improve the accuracy of engineer/technician actions throughout the day. Appointments correctly actioned by engineers/technicians provide office users with up-to-date information that is relayed back to the office in real-time, improving the efficiency of your business and increasing awareness so that your office staff and engineers/technicians are always on the same page.

Statuses applied in the app will automatically update on the web schedule. See Appointment statuses and icons for more details.

View Appointment

➡️ Diary > Tap appointment

Appointments are also displayed on the home screen. Tap the action button on the widget to navigate directly to the appointment details.


Accept/Reject

When an appointment is added to an engineer/technician’s diary, they can review the job information and decide how to proceed.

  • Accept: Confirms the appointment will be attended.

  • Reject: Indicates the appointment cannot be attended.

    • Type reason for rejecting > Save/Tick

💭 When should you accept/reject appointments? Appointments should be reviewed and either accepted or rejected the morning of or the night before.


Travel/Abort

  • Travel: When in the vehicle and ready to leave, tap Travel.

    • If the On our way SMS is configured, it will be sent to the customer when the status updates to Travel.

  • Abort: If unable to begin travelling to the appointment, tap Abort.

    • Type reason for aborting > Save/Tick

    • The job will remain open and can be rebooked, only the appointment is aborted.


Arrive/No access/Abort

  • Arrive: Once access to the property is granted, tap Arrive.

    • Fill in arrive questions > Save/Finish

  • No access: If unable to access the property, select "No access" to document the issue and attach pictures.

    • Complete questions > Take photo > Save/Tick

  • Abort: Cancels the appointment entirely at this stage.

    • Type reason for aborting > Save/Tick

    • The job will remain open and can be rebooked, only the appointment is aborted.

Once marked as Arrived, the appointment cannot be edited or moved. Ensure this status is applied once inside the property.


Leave/Abort

When the job report is complete and works finished, mark the appointment as Left when leaving the property.

  • Fill in job report > Leave

    • Is the job complete? > Yes/No - Selecting 'Yes' will mark the entire job as complete, not just the appointment. Confirm carefully before proceeding.

  • Abort: Cancels the appointment after work has started.

    • Type reason for aborting > Save/Tick

    • The job will remain open and can be rebooked, only the appointment is aborted.

If the appointment was marked as Arrived in error, abort the appointment and reschedule.

💭 Need to leave early? Mark the appointment as "Left," ensure the job is not marked completed, and schedule a new appointment to return at an appropriate time.
