Using Attachments

This article describes the way how attachments can be leveraged in the process of creating an asset.

Similar to projects, Assets permit users to append attachments to an asset. This can be particularly helpful as a way to share factsheets, research or articles that support claims made in the asset (evidence), correspondence that justifies choices made, or some source files. Generally speaking, attachments are typically helpful to share in the context of the asset, for viewers (and approvers!) to have all the information they need to do their job well.

1. Types of attachments

Cohero currently supports 2 types of attachments to be added: files and bookmarks.

  • Files can be uploaded from your local drive. If you have uploaded a file as an attachment on one asset, you won't be able to associate it to another asset without uploading it there again.

  • Bookmarks are named hyperlinks that you can append to an asset. By providing a clear name to the URL, other users will easily understand the destination it leads to.

2. Adding/Removing attachments

To add an attachment to an asset, open the attachments menu (paperclip icon), determine the appropriate attachment category, and then press '+ Add'. A small fly-out will provide you with 2 options: 'Upload file' and 'Add link':

Adding a file:

Select the option 'Upload file' - an explorer window appears where you can select the file, and confirm your selection. Cohero will show a timer while the upload takes place. Once the upload is completed, Cohero will generate a thumbnail of the asset. It will also reflect the name of the file, the date it was uploaded and who added it.

How to add a link (bookmark):

Select the option 'Add link'. The dialog that opens, offers 2 fields to fill out:

  • Link: this is where you enter the URL of the location you wish to add.

  • Title: this field appears, once you've added a URL. It offers a way to provide the name, by which the bookmark will appear in the list of attachments

  • The preview area below will fetch the publicly available information about the link you've provided.

When you click 'Add', you'll see the added link is now featured in the list of attachments. When other users hover over this attached bookmark, a preview of that URL's destination will appear (just like it does for URLs in the asset).

How to remove an attachment

To remove an attachment, simply open the attachment's action menu (...) and select "Remove attachment":

3. Attachment categories

To keep a potential high number of attachments easy to oversee, Cohero offers a way to categorize attachments. Each workspace is configured with attachment categories that are most helpful and intuitive for that particular client. These are managed by the workspace admin.

Note, that attachments can also be uploaded on Projects. Attachment categories can be different on that level, depending on your organization's preferences.

4. Previewing & downloading attachments

Cohero offers an ability to download and (pre)view most file formats of attachments. To do so, simply open the attachment's action menu (...) and choose either 'Open preview' or 'Download'.

This will open the attachment on a dark preview canvas, dedicated to showing attachment documents:

The preview canvas offers the following functionalities:

  1. The attachment canvas: operates the same way the regular asset canvas, in the sense that users can pan in any direction.

  2. Attachment name: shows the name of the attached document you're viewing

  3. Download link: offers a way to download this document

  4. Close: will bring you back to the asset canvas.

  5. Canvas controls: a basic set of controls, offering a way to flip between pages, adjust the zoom level, and center a page.
