Overview
This guide outlines how to view, update, and manage datasource validation within the platform. The feature enables users to track and record the validation status of datasources for accuracy and compliance.
Note: Validation does not verify accuracy—it only records that manual validation has occurred.
Validation States
Users can record the following states to a Datasource Validation Record;
Pre-Validated – Internally validated by CoolPlanet.
Validated – Fully validated and confirmed by CoolPlanet and client.
Expired – The validation has passed its expiry date.
Invalidated – Validation revoked due to issues.
Note that all Datasources have a 'Never Been Validated,' status as their beginning implicit state, until one of the above states have been recorded. This is not explicitly displayed.
Datasource List View
The Validation Status column is visible in the Datasource list view in Organise. Each state is listed with a tag. If the cell is blank, it is at the above, 'Never Been Validated,' state.
Datasource Details View
When viewing the Datasource detail drawer, a new tab beside the default 'Data' view is visible called 'Validation Record.' Clicking this opens the tab in a blank state the first time a record is entered.
The table lists the Name (of the status recorder), Status, Validation Date and Expiry (if applicable)
To add a new record;
Click Add Validation Record
Enter the relevant information in the modal;
Validation Date (auto-filled to date of recording)
Validator (auto-filled to user adding the record)
Validation Status (required)
Expiry Date (optional)
Notes (optional)
The record is now visible in the list, and a new field called 'Validation Status,' is visible in the Datasource details at the top of the drawer.
Clicking a row in the table will open the details of that record in view-only mode. No edits are permissible to created records.
Bulk Update
Users can also add multiple records to Datasources from the list view by selecting the desired Datasources from the list, and selecting 'Validate,' under the 'Actions' menu at the top of the list.
