Overview
The Dashboard Guest Access feature allows you to share a dashboard with a person who is not a registered user of the CoolPlanetOS platform. This feature is useful for example in instances where sharing asset information with external contractors is necessary.
Sharing a Dashboard
To share a dashboard, follow these steps:
Click the 'Actions' button on the desired dashboard.
Select 'Share Dashboard.'
In the modal that appears, enter the email address of the user you want to grant access to, and hit return to submit it.
Note: Only the owners or co-owners of a dashboards can share it.
Upon entering the email address, a unique URL is generated and sent to the specified person via email. This URL allows them to access the dashboard without the need for login credentials.
User Access Abilities
Users with guest access can interact with the dashboard in a 'view-only' mode. They have the ability to:
Adjust the date range and interval.
Compare different periods.
Expand widget views.
Download chart images and CSV files.
Turn auto-refresh off and on.
Important Security Notice
Please be aware that this link is unique to the email address it is shared with and grants direct access to the dashboard without the need to log in. As such, it's crucial to handle this link with care. Here are some key points to consider:
Confidentiality is Key
The information on the dashboard is intended solely for the recipients use. They should refrain from sharing the link publicly or with unauthorised individuals.
Beware of Forwarding
If the notification email is forwarded to others, the recipients will also have access to the dashboard.
Security First
Users should avoid writing down or storing the link in insecure locations. Treat it as you would any sensitive information.
Report Suspicious Activity
If you believe the link has been compromised or accessed by an unauthorised party, please contact support immediately.
Removing Access to a Dashboard
If you need to revoke access to a dashboard, follow these steps:
Locate the user's email address under the 'Guest Access' field.
Click 'Remove' next to the email address.
If you choose to share the dashboard with the same user again, a new URL will be generated
Dynamic Site Dashboards
