Paying invoices

Learn how to pay invoices through Banqup using your Banqup Business Account or linked bank accounts. Single and bulk payments explained.

Banqup simplifies your invoice handling process by allowing you to pay directly from the platform. With Banqup, there's no need to log in to multiple bank environments, as you can manage all your payments in one place. When you settle an invoice through Banqup, the document is automatically marked as paid, reducing your administrative workload.

Where to find the Pay button

You can find the Pay option in several places.

For paying multiple invoices:

  • By selecting an invoice (or multiple) in your Purchase Invoices. The Pay button appears in the actions bar.

  • By going to Outbound Payments where the approved invoices appear, then selecting an invoice (or multiple). The Pay button appears at the top of the list.

Note

Bulk payments (multiple invoices at once) are only available when using your Banqup Business Account. When paying through linked bank accounts, you can process only one invoice at a time.

For paying a single invoice (works from Purchase Invoices and Outbound Payments):

  • By clicking on the three dots in the Actions column.

  • By double-clicking on an invoice, the Pay button is in the upper-right corner.

Initiating a payment

You can pay one or multiple invoices in a single transaction.

For a single invoice:

  • Click the Pay button from one of the places shown above.

  • On the next screen you can:

    1. Edit the amount to pay by clicking on it.

    2. Select the bank account with which to pay.

    3. Schedule the payment to a later date (optional).

    4. Click Pay. Then you'll need to authorise the payment (see below).

For multiple invoices:

  1. Click the Pay button from one of the places shown above.

  2. A payment review screen appears. From here, you can review:

    • Which payment account to use for the payment.

    • The balance of the selected account.

    • The individual invoices selected for payment and their total amount.

    • If issues are preventing the payment (e.g. supplier’s IBAN missing, insufficient funds, warning that a selected invoice already has a planned payment). For each selected invoice, you can pay a partial amount, add the supplier’s bank account information, or remove the invoice. There’s also a button to remove all documents with errors.

    You can also plan when the payment will be made by selecting a payment execution date.

  3. Once you’re ready, click on Pay.

Notes

  • We check if the beneficiary’s name matches the receiving bank account. If we suggest a name, click it to update the beneficiary. If there’s no match or verification isn’t possible, review the information carefully before proceeding.

    If you choose to continue after a mismatch warning, Banqup declines all responsibility if the money doesn’t reach the intended beneficiary.

  • You can also plan payments to be executed at a later date.

Authorising a payment

For payments with your Banqup Business Account

  1. A QR code appears on your screen.

  2. Open your Banqup One mobile app and authenticate.

  3. Tap the plus-icon at the bottom-right of your screen.

  4. Then tap Scan QR code.

  5. Scan the QR code with your Banqup One app.

  6. Review the payment details.

  7. Click Sign to authorise the transaction.

For payments with a linked bank account

Authorise the payment through your bank's environment. Follow your bank's instructions that appear on the screen.

Checking your account balance

Before making a payment, you can quickly check the available balance in your Banqup Business Account or other linked bank accounts (given you've granted consent to access your balance). This information is displayed on the payment review screen.

If the total amount to be paid exceeds your available balance, you can transfer or add money to your account before completing the payment process.

Adding a missing (or new) bank account of a supplier

If you try to pay a supplier and Banqup can’t find a valid bank account for the transfer, you don’t need to stop the payment flow, you can fix it instantly.

You may see a warning if:

  1. No bank account is available or selected, or

  2. A new IBAN was detected in the invoice.

No bank account is available or selected

  1. Click the dropdown field in the IBAN column. Then you have two options:

    1. The OCR found an IBAN (or several). Click on an IBAN to use it.

    2. Click Add bank account.


      Then in the pop-up, use the PDF preview to add (or copy/paste) the IBAN to the supplier. Click Save, then continue with the payment.

Tips

  • If the supplier already has multiple IBANs saved, simply select one in the dropdown to continue.

  • When you add a new IBAN here, it is automatically saved to the supplier and won’t need to be added again next time.

A new IBAN was detected in the invoice

You can click on Add bank account to add the newly detected IBAN to the supplier's details, or you can ignore it to keep making the payment to the bank account already saved for that supplier.

FAQ

What happens if a payment fails?

If a payment fails, you will be informed right away. The status of the affected invoice(s) will remain Unpaid and you can attempt the payment again once the issue has been resolved.

How long does it take for a payment to go through?

The processing time for a payment depends on several factors:

  • Paying with your Banqup Business Account to another Banqup Business Account, the money is transferred instantly.

  • Paying with your Banqup Business Account to an external bank account, the money is transferred within one business day.

  • Paying with an external bank account to a Banqup Business account, the money is transferred within one business day.

  • When paying between external bank accounts, the processing depends on the capabilities of both the sender's and receiver's banks.

Once the payment is processed, the status of the corresponding invoice(s) in Banqup will be updated to Paid and you will receive a confirmation message in your account.
