Servicing a Care Home Already using Atlas eMAR – A Guide for Pharmacies

If your pharmacy is approached by a care provider already using the Atlas eMAR system and an agreement is made to take over the supply of medication, there are some key steps which must be followed to ensure that all regulations are adhered to and that the transition is smooth and safe with no disruption to medication supply for residents.

  1. Any change of provider must be notified in writing to the PCS Customer Success team via clientsuccess@personcentredsoftware.com prior to the commencement of service. It is PCS’s responsibility to arrange the transfer of resident data from the current pharmacy suppliers’ CAPA or Atlas Pharmacy system to the new pharmacy. This cannot be done independently.

  2. The home should serve notice to the current pharmacy provider and agree a termination date with them. Termination dates should be arranged for the nearest date possible after the delivery and start of a monthly cycle of medication. Termination of service should not happen mid-cycle as this may result in disruption of the medication supply.

  3. The PCS Customer Success team will contact the appropriate person with responsibility at the home to seek written confirmation of the change and request consent to transfer the confidential resident information to the new pharmacy prior to any data being transferred. When contacting us to request a change to your pharmacy please supply the name of the person you have been contacted by at the home.

  4. The PCS Customer Success team will contact the current pharmacy provider to ensure that notice has been given and arrange a suitable date for the data transfer from their system. The current supplier must be given enough time to clear down their CAPA or Atlas Pharmacy system of any outstanding medication or owing's. If a supply cannot be made due to a stock supply problem, these items should be reported to the home and records deleted. Transfer of data will not include any outstanding medication/prescription images or dispensing history, only the resident data and repeat medication tab information.

  5. The home should be asked to send you a resident list prior to the commencement of service and all residents should be nominated either the evening before or morning of the agreed service start date. Please do not nominate residents earlier than this unless an agreement is made, as you will be unable to supply any interim medication with barcoded labels.

  6. Once all these steps have been completed, the PCS Customer Success team will confirm and schedule the data transfer on the agreed date.
