Managing your users accounts is extremely important to ensure data confidentiality. It is a role within the home which will require consistent maintenance not only to ensure that the correct users have the correct access, but also that users who are no longer within your organisation are restricted from accessing your residents information when it is no longer appropriate for them to.
Active Accounts
Active user accounts are determined by their contract dates which calculates the period of time in which the user will be granted access to your systems. The access level will not only regulate what information they can see but also actions they can perform on the Atlas device.
The active user section displays active profiles and the associated account information for example name, email, access level and contract end date. You are able to search for users by name or email address, there is also an additional filter to view users who have not logged in for over 30 days or for users who's contract date will expire within 14 days. It is important that contract dates are monitored to avoid user access being removed incorrectly.
Modifying accounts
Modifications can be made to any account at any time via the Atlas Central site. Managers and users with the access role of deputy manager can update other users access levels and contract dates by selectingedit on any profile. Users can amend their own details such as name, email address and password from the my profile section.
Archiving Accounts
If a user with access to the Atlas Central site and Atlas PCS device no longer requires access, these accounts can be archived by setting the contract end date to the date they will no longer require access from. It is best practice that users who leave your organisation are removed from the system the day/date that they leave.
Reinstating Accounts
Archived accounts can be reinstated by simply updating the contract end date to a new, future date. Archived accounts can be located and viewed by selecting the inactive tab and using the search function to find the account using the user's name or email address.
Tasks
The task section monitors 2 main statuses regarding user profiles,Not Logged InandUsers Expiring Soon. Its important that these are monitored and actions to avoid any users who require access still are not removed from the Atlas Device or Atlas Central at an inappropriate time but also to review users who have not logged in as they may not longer require access.
