The interim order process is a simple and quick way of creating short-notice prescription request to send to the GP surgery for particular items with stock figures that will not last until the monthly cycle commences. The prescription request can be created on Atlas eMAR, this can then be generated as a email copy or printed from the Atlas Central web portal and sent to the surgery. Placing the order on Atlas eMAR means you will have a full audit of what medication has been ordered, the quantity, the date the order had been created and who created the order.
To place an interim order, you will need to follow the process you have agreed with the surgery that deals with the specific resident in question, or with the Pharmacy that orders medication on the resident’s behalf. Please note that GP surgeries generally require 48 hours to authorise a prescription and that your pharmacy may not go to the surgery every day to collect prescriptions. It is therefore imperative that you action your low stock warning on your Atlas device as quickly as they appear. This then gives plenty of time for the prescription to be authorised, dispensed and delivered.
To place an interim order follow this process:
1. First log into Atlas eMAR, then select the manage orders icon below the orders heading.
2. At the top of the screen will be the two options; monthly orders due and interim orders. Select interim orders, on this screen will be a list of all interim orders placed but not yet received, and their current status as of the last synchronisation. Click the add item icon just below the interim orders icon.
3. Select the resident and item name you wish to place an order for from the drop-down lists, and then amount required, confirm whether you require a email copy for the order and click confirm. Return to the Atlas eMAR main menu then synchronise the handset.
4. The order will then need to be sent to the Surgery or Pharmacy as per usual.
