After clicking on PAY NOW, you’ll be charged a pro-rata upgrade fee.
This is how the pro-rata fee is calculated:
Let’s say you purchased an ApprovalMax for Xero Advanced subscription on 1 January and paid 80 EUR for it:

On 14 January (middle of the month), you decide to put one more Organisation on this subscription. For this you need to upgrade.
Let’s take a look at how the fees are calculated
The upgraded subscription will cost 80 EUR x 2 Organisations = 160 EUR per month, which is the fee for the next full billing period. However, when you upgrade on 14 January, you’ll need to pay the upgraded subscription price only for the second half of January, i.e. 80 EUR (160 EUR / 2). Half of the monthly fee already paid for the initial subscription will be refunded as you won’t be using it after the upgrade.
Here’s how the line items of the invoice for such an upgrade will look:
Product | Qty | Amount |
Unused time for the ApprovalMax for Xero Premium plan until the end of the month (½ of the billing cycle) |

80 EUR / 2 = 40 EUR (half the price of January) will be refunded: - 40 EUR |
(80 EUR * 2 Org.) / 2 = 80 EUR will be charged for the second half of January for the upgrade: 80 EUR
| 40 EUR
On 14 January, you’ll be charged a 40 EUR pro-rata fee for the upgrade; and from the start of the next billing period (1 Feb) you’ll be charged 160 EUR per month.
