Understanding the Ads Defender Structure

Ads Defender is built to accommodate organizations of any size by providing flexible user management across different levels. The structure is as follows:

  1. Workspace (Organization Level)

    • The workspace represents the organization.

    • Each workspace can contain multiple ad accounts and unlimited users.

  2. Ad Accounts (Platform Accounts)

    • Ad accounts reflect individual Google Ads, Microsoft Ads, or Meta Ads accounts.

    • These accounts sit under the workspace and can be managed individually.

    • Important: The email used to connect ad accounts (such as the Google Ads or Microsoft Ads account) does not need to match the email of the owner or admin in Ads Defender. A different account can be used during ad account connection.

  3. Users (Team Members and Roles)

    • Users are invited to the workspace and can be assigned different levels of access.

    • No user or account limits apply within Ads Defender, allowing full flexibility in scaling teams and account management.

User Roles in Ads Defender

Ads Defender offers three distinct user roles, each with varying degrees of access and responsibility.

1. Owner (Primary Contact)

  • The Owner holds the highest level of access within the workspace.

  • This individual acts as the primary point of contact between Ads Defender and the organization.

  • Key Responsibilities:

    • Manages all users, ad accounts, and integrations.

    • Handles critical communications from Ads Defender.

  • Limit: Only one owner can exist per workspace.

  • Transferring Ownership:

    • The owner role can be transferred to another user if necessary.

    • Important: This cannot be done directly through the Ads Defender UI. To transfer ownership, you must contact your Ads Defender representative.

2. Admin (Full Access, Multi-User)

  • Admins share many of the same privileges as the owner but can be multiple.

  • Key Responsibilities:

    • Add, delete, and reconnect ad accounts.

    • Invite, manage, and remove users (including other admins).

    • Manage user roles and assign account access to members.

    • Oversee workspace settings and configurations.

3. Member (Limited Access, Per-Account Basis)

  • Members are assigned to specific ad accounts within the workspace.

  • Key Responsibilities:

    • Can view and manage only assigned ad accounts.

    • Have no access to workspace-wide settings or user management.

    • Must be manually assigned to ad accounts by the owner or admin.

Managing Users in Ads Defender

User management in Ads Defender is streamlined to ensure efficient team collaboration.

Accessing User Management

  • User Management is handled through the Workspace Management tab.

  • This tab is visible only to owners and admins.

  • Members do not have access to workspace management settings.

Inviting a New User (Admin or Member):

  1. Log into Ads Defender and go to Workspace Management.

  2. Open the Users tab.

  3. Click on Invite User.

  4. Enter the user's email address.

  5. Choose the desired role (Admin or Member).

  6. Click Invite.

  • Invitation Expiration: Invitations sent by email expire after three days if not accepted. If this occurs, the invitation must be re-sent by repeating the process above.

  • Admins can access the full workspace and accounts immediately upon login.

  • Members will not see any ad accounts until they are manually assigned.

Assigning Ad Accounts to Members:

  1. In the Workspace Management tab, go to the Accounts section.

  2. Select the ad account(s) you want to assign.

  3. Locate the user and assign the account(s) by toggling access.

  4. Members will now have access to the selected accounts when they log in.

Removing Users:

  1. In the Workspace Management tab, open the Users section.

  2. Tick the checkbox next to the user’s name.

  3. Click the red trash bin icon to delete the user.

  4. Confirm the removal to revoke access.

Common Use Cases for Roles

  • Owner Role:

    • Ideal for the main point of contact managing Ads Defender across the entire organization.

  • Admin Role:

    • Best suited for team leaders or ad managers who manage multiple ad accounts.

    • Provides full operational control.

  • Member Role:

    • Designed for freelancers, contractors, or team members who only need access to specific ad accounts.

    • Prevents users from accessing broader organization settings.

Best Practices for User Management

  • Limit the number of admins to ensure consistent oversight and avoid unnecessary duplication of privileges.

  • Use the member role for external agencies or contractors to ensure account-level access without exposing broader settings.

  • Regularly audit user access through Workspace Management to ensure permissions remain up-to-date.
