In the current access-role settings, access to Organisation Explorer is controlled by Settings > Access roles > [role] > Permissions > Features > Users & Data > View org. chart.
Being able to see someone in Organisation Explorer does not automatically give you access to their employee profile. Profile access continues to follow your existing access-role permissions.
Overview
Organisation Explorer gives you an interactive way to view and navigate the structure of your organisation.
Instead of being limited to a traditional organisation chart, you can:
search for people by name
expand or collapse organisational structures
switch between Classic, Wheel, and Radial layouts
organise people by Hierarchy, Job title, Department, Location, or Subcompany
show or hide people who are not assigned to the selected organisational grouping
zoom, pan, and use the minimap to move around large structures
customise the information shown on employee cards
open employee profiles where your access role permits
export the whole structure or just the area currently visible
print the current organisation view.
A useful way to think about Organisation Explorer is:
Organisation view controls how people are organised.
Layout controls how that information is displayed.
Card customisation controls which employee details you see while exploring.

Some existing areas, such as access-role settings, may still use the previous Org chart wording while terminology is being updated.
Search for someone
Use Search by name in the upper-right controls to quickly find someone in a large organisation.
Click Search by name.
Enter all or part of the person’s name.
Matching people are highlighted in the current view.
If there is more than one match, use the left and right arrows beside the result count to move between them.
For example, 2 of 7 means you are viewing the second of seven matching results.
💡 Tip:
Search works alongside your selected Organisation view and Layout, so you can find someone without first returning to the default hierarchy.
Filter the organisation
Use Filters
in the upper-right controls to narrow a large organisation to the people you want to view.
You can include or exclude people using:
Department
Location
Subcompany
Job title
To filter the Organisation Explorer:
Click Filters
.In Include, search for and select the attributes you want to include.
If needed, use Exclude to remove groups from the results.
Click Apply.
You can use Include and Exclude independently or together. For example, you could use Exclude on its own to show everyone except a particular department.
When combining filters:
selections from different attribute types work as AND
multiple selections of the same attribute type work as OR
For example, selecting London and Sales shows people who are in London and Sales. Selecting London and Manchester shows people who are in London or Manchester.
When filters are active, a count on Filters shows how many filters have been applied.
Click Reset all to clear the filters and return to the full organisation. Click Cancel to close the filter panel without applying your latest changes.
If no people match your filters, Organisation Explorer displays an empty state.
Use Filters to include or exclude people based on organisational attributes.
Expand or collapse the organisation
Use Expand all or Collapse all in the upper-right controls to change how much of the structure is displayed.
Expand all displays the full available structure.
Collapse all reduces the structure so you can focus on its higher-level groups or reporting points.
In Classic layout, you can also use the small arrow controls
within the chart to expand or collapse individual sections without changing the rest of the view.
This is useful when you want to focus on one part of a large organisation.
Choose a layout
Use the Layout control on the left of Organisation Explorer to change how the organisation is visually displayed.
There are three layouts:
Classic
Classic displays the organisation using connected cards.
This is the closest layout to a traditional organisation chart and is particularly useful when you want to:
read employee details directly from cards
follow reporting or grouping structures
expand or collapse individual branches
open an employee profile
customise employee cards
Wheel
Wheel displays people and organisational relationships around a circular structure.
Hover over a person or grouping to highlight its connections with other points in the view.
Radial
Radial displays the organisation across a series of concentric levels.
Hover over a person or grouping to highlight the connections between related points.
Choose between Classic, Wheel, and Radial layouts.
💡 Tip:
Changing the layout changes only how the information is displayed. It does not change the organisational data or the Organisation view you have selected.
Choose an Organisation view
Use the Organisation view control on the left to choose how people are grouped or connected.
You can select:
Hierarchy
Job title
Department
Location
Subcompany
Hierarchy
Use Hierarchy to view the organisation based on reporting relationships.
Job title
Use Job title to organise people according to their job titles.
Department
Use Department to organise people according to their assigned department.
Location
Use Location to organise people according to their assigned location.
Subcompany
Use Subcompany to organise people according to their assigned subcompany.
Each Organisation view can be combined with Classic, Wheel, or Radial layout.
For example, you could view people by Job title in Classic to see grouped cards, then switch to Wheel or Radial to look at the same information from a different visual perspective.
Show unassigned
Turn Show unassigned on to include people who do not currently have a value assigned for the selected Organisation view.
Turn it off to hide them.
For example, when viewing by Department, Show unassigned can reveal people who do not currently have a department assigned.
Select how people are organised in Organisation Explorer.
Move around a large organisation
Organisation Explorer includes navigation tools for large structures.
You can:
pan around the view
zoom in using +
zoom out using −
use the minimap in the lower-right corner to see which part of the overall structure is currently visible
The highlighted rectangle inside the minimap represents the area you are currently viewing.
You can use these tools together to move quickly between different parts of a large organisation.
Use the minimap and zoom controls to navigate large organisation structures.
View an employee profile
In Classic layout, click a person’s card to display the available actions.
Select View profile to open that person’s Profile Overview.
Whether you can open the profile depends on your access role.
If you have permission to access that person, their profile opens.
If you do not have permission, an Access denied message appears.
🖊️ Note:
Seeing someone in Organisation Explorer does not give you additional access to their HR information. View profile follows the same people and profile permissions that apply elsewhere in Sense HR.
You can return to Organisation Explorer using your browser’s Back button, the Organisation Explorer icon in the upper-right corner, or the Organisation Explorer breadcrumb.
Open Organisation Explorer from a person’s profile
When you are viewing a person’s profile, click the Organisation Explorer icon in the upper-right corner.
You can choose what Organisation Explorer should centre on:
Hierarchy
Job title
Department
Location
Subcompany
Organisation Explorer then opens focused on the selected person and the corresponding organisational grouping.
For example, if the person belongs to the 'Sales' department and you select Department, Organisation Explorer opens with 'Sales' as the focus and highlights that person within the department structure.
If you select Hierarchy, Organisation Explorer opens around that person’s team and reporting structure.
Choose how Organisation Explorer should centre on a person from their profile.
💡 Tip:
Starting from a profile is a quick way to explore the organisational context around a specific person without first opening the full Organisation Explorer and finding them manually.
Customise employee cards
In Classic layout, you can choose which employee details are displayed on the cards.
Your card layout is personal to your user account. Changing it affects all cards in your Organisation Explorer, but does not change what other users see.
To customise your cards:
Click any employee card.
Click Customise card.
In the Customise card window, drag fields onto the placeholder positions in the card preview.
To remove a field, drag it back from the preview into the available-fields list.
Review the preview.
Click Save.
Drag employee details into the card preview to customise your Organisation Explorer cards.
Available card details include:
Job title
Profile picture
Name
Location
Department
Status
Subcompany
Name and Profile picture are always displayed and cannot be removed.
🖊️ Note: Your customised card layout does not currently persist after you log out. When you sign back in, the card layout returns to the default settings.
Show today’s status
Add Status to your card if you want to see each person’s current working status while viewing the organisation.
Status is based on the person’s current Planner information, such as event bookings or work schedule, and can also reflect future-leaver information.
Depending on the person’s current information, you may see statuses such as:
Working
Non-working day
Unknown
🖊️ Note:
Customising one employee card changes the layout of all cards in your Organisation Explorer view. It does not change cards for anyone else in your organisation.
Export an Organisation Explorer view
Click the
Export dropdown in the upper-right controls to download an image of the organisation structure.
You can choose:
Entire chart
Exports the complete structure, including areas outside your current on-screen view.Visible area
Exports only the section currently shown on screen.
Use the minimap and zoom controls first if you want to define a particular area before choosing Visible area.
💡 Tip:
Visible area is useful when you only need to share one part of a large organisation rather than the complete structure.
Print an Organisation Explorer view
Click Print in the upper-right controls to open your device or browser’s print window.
From there, you can use the available print options to:
select a printer
choose pages
change the number of copies
select colour or black and white
use any additional printer or browser settings available on your device
Large organisational structures may be arranged across multiple pages in the print preview.
Review circular reporting relationships
If your organisation data contains a circular reporting relationship — for example, where two employees are set as reporting to each other — Organisation Explorer continues to load but cannot display every relationship in that circle.
A warning appears showing the number of affected relationships.
Click Review issues to see:
the affected employee
who they are recorded as reporting to
One relationship from each affected group is excluded so that Organisation Explorer can still display the rest of the organisation.
Review and correct the affected reporting relationships in the employee records, or contact your HR administrator if you cannot update them yourself.
Review circular reporting relationships that cannot be displayed in Organisation Explorer.

Q: Why can’t I see Organisation Explorer?
A: The reason you can’t see Organisation Explorer is likely that your access role does not include permission to use it. In current access-role settings, administrators can control this under Settings > Access roles > [role] > Permissions > Features > Users & Data > View org. chart.
Q: Why can I see someone in Organisation Explorer but not open their profile?
A: The reason you can see someone in Organisation Explorer but cannot open their profile is that Organisation Explorer access and profile access are controlled separately. Selecting View profile follows your existing access-role permissions, and an Access denied message appears if you do not have permission to access that person’s profile.
Q: What’s the difference between a Layout and an Organisation view in Organisation Explorer?
A: The difference between a Layout and an Organisation view is that the Organisation view controls how people are organised, while the Layout controls how that information is visually displayed.
For example, you can select Job title as the Organisation view and then display it using Classic, Wheel, or Radial layout.
Q: How do I find someone in a large Organisation Explorer view?
A: To find someone in a large Organisation Explorer view, enter their name in Search by name. If several people match your search, use the result arrows to move between each highlighted match.
Q: Why can’t I see everyone when using an Organisation view?
A: The reason you may not see everyone in an Organisation view is that some people may not have a value assigned for the selected grouping. Turn on Show unassigned to include people without an assigned Job title, Department, Location, Subcompany, or other applicable value.
Q: Does customising a card change Organisation Explorer for everyone?
A: No. Customising a card does not change Organisation Explorer for everyone. Your customised card layout is saved for your user account and applies to the cards you see. Other users can choose their own card layouts.
Q: Why did all my employee cards change when I customised one card?
A: The reason all your employee cards changed when you customised one card is that card customisation defines your Organisation Explorer card layout rather than changing one individual employee’s card. Your selected layout is therefore used across all employee cards in your view.
Q: What is the difference between exporting the Entire chart and the Visible area?
A: The difference between Entire chart and Visible area is that Entire chart exports the complete organisational structure, while Visible area exports only the section currently displayed on screen and minimap.
Use the zoom, pan, and minimap controls first if you want to select a particular area to export.
Q: How do I expand only one part of the Organisation Explorer?
A: To expand only one part of Organisation Explorer, use the individual arrow ![]()
controls within the Classic layout. These let you expand or collapse a particular section without using Expand all or Collapse all for the whole structure.
Q: What does Status on an Organisation Explorer card show?
A: Status on an Organisation Explorer card shows the person’s current working status based on information such as their Planner bookings or work schedule, and can also reflect future-leaver information. Depending on their current information, you may see statuses such as Working, Non-working day, or Unknown.
