How does a provider submit a reasonable adjustment request?

Training providers must follow a defined process within ACE360 to request a reasonable adjustment and supply the required supporting documentation.

Step 1: Raise the Request in ACE360

  • Providers must first submit a reasonable adjustment request within ACE360 for the relevant learner

  • This flags the request for review and ensures it is logged against the learner’s profile

Step 2: Complete the Reasonable Adjustment Form

  • The provider must complete the official Reasonable Adjustment form in full

  • This should clearly outline:

    • The learner’s needs

    • The adjustment being requested

    • How the adjustment reflects the learner’s normal way of working

Step 3: Upload the Form to ACE360

  • The completed form should be uploaded to the Shared Documents tab within the learner’s profile in ACE360

  • This ensures the request is formally linked to the learner record

Step 4: Submit Supporting Evidence Securely

  • All supporting evidence must be sent separately via a secure link to EPA Operations

  • This may include medical or educational documentation and must meet data protection requirements

Step 5: Review and Outcome

  • Once the request has been submitted and EPA Operations have been notified:

    • The request and evidence will be reviewed

  • If approved:

    • The adjustment will be recorded in ACE360 on the learner’s profile

    • The provider will receive confirmation via email

Important Considerations

  • All required documentation must be complete and accurate to avoid delays

  • Evidence must support both the need for the adjustment and the learner’s usual way of working

  • Requests should be submitted in line with required timelines (e.g. before gateway where possible, or at least 30 days before EPA)
