What is the difference between a pending and a confirmed booking in ACE360?

Within ACE360, bookings go through different stages before being finalised. Understanding the distinction between pending and confirmed bookings is essential for managing expectations and communicating accurately with learners and employers.

Pending Booking

A pending booking indicates that:

  • An assessor has been contacted to check their availability for the assessment

  • The proposed date and time are not yet confirmed

  • The booking is still in a provisional stage

At this point:

  • The assessor has not yet accepted the booking

  • The assessment is not guaranteed to take place on the proposed date

  • Providers should not confirm these details to learners or employers

Confirmed Booking

A booking becomes confirmed once:

  • The assigned assessor has accepted the booking in ACE360

  • The assessment date and time are now secured and guaranteed

At this stage:

  • The booking is finalised and ready to proceed

  • A Teams (or calendar) invite is issued to all relevant parties, including:

    • The learner

    • The Independent End-Point Assessor (IEPA)

    • The training provider

    • The employer

Key Differences at a Glance

  • Pending = provisional (awaiting assessor availability, not guaranteed)

  • Confirmed = finalised (assessor accepted, booking secured)

Important Considerations

  • Providers should only communicate confirmed bookings to learners and employers

  • Acting on pending bookings may lead to confusion or the need to rearrange dates

  • The official confirmation is reflected by:

    • The booking status in ACE360

    • The calendar invite issued after acceptance
