Can the training provider choose dates for EPA?

Training providers can share preferred dates for End-Point Assessment (EPA), but final scheduling is subject to availability and cannot be guaranteed.

Providing Preferred Dates

When submitting a learner to gateway in ACE360, providers have the opportunity to:

  • Indicate preferred EPA dates

  • Highlight any scheduling preferences that align with employer or learner availability

These preferences will be taken into consideration during the booking process.

Availability and Scheduling

  • An EPA Coordinator will review all preferred dates provided

  • While EAL will make every effort to accommodate these preferences, this is not guaranteed, as scheduling depends on factors such as:

    • Assessor availability

    • The specific standard and pathway

    • Location and logistics

Providing Unavailable Dates

Providers can also support effective scheduling by:

  • Supplying dates when the learner is unavailable (e.g. annual leave, work commitments)

During the booking process:

  • These dates will be avoided wherever possible, helping to reduce the need for rescheduling

Best Practice

To improve the likelihood of securing suitable dates, providers should:

  • Provide clear and realistic preferred dates at the point of gateway submission

  • Include any known constraints or blackout periods

  • Ensure information is accurate and up to date
