How does a training provider book an exam for EPA?

Where an apprenticeship standard includes an exam or test as part of the End-Point Assessment (EPA), the booking process is managed directly through the EPA Operations team.

Submitting a Booking Request

To request an exam booking, the training provider must:

  • Email the EPA Operations team with the relevant details for the apprentice

The email must include:

  • Apprentice name

  • Apprenticeship standard details (including pathway, where applicable)

  • Assessment location

  • Preferred exam date and time

Providing complete and accurate information at the point of request will help avoid delays in scheduling.

Booking Process

Once the request has been received:

  • An EPA Coordinator will review the submitted details

  • The coordinator will:

    • Confirm availability

    • Arrange a suitable invigilator for the exam

    • Schedule the exam in line with the requested date (where possible)

Please note that requested dates are subject to availability and may need to be adjusted.

Confirmation of Booking

Following successful scheduling:

  • The exam booking will be confirmed, typically via the usual EPA communication channels (e.g. calendar invite or booking confirmation)

  • Full details of the exam (date, time, and location) will be shared with the relevant parties

Best Practice for Providers

To support a smooth booking process, providers should:

  • Submit requests as early as possible

  • Ensure requested dates allow sufficient time after gateway approval

  • Double-check all learner and location details before sending the request
