What is the EPA booking process?

Once a learner has successfully passed gateway, the End-Point Assessment (EPA) booking process is initiated to schedule their assessment.

Booking Timelines

  • Following gateway approval, the EPA booking process will begin

  • A booking will be created within 2 working days of the gateway being approved

EPA is typically scheduled to take place within a 4–6 week window, although this may vary depending on:

  • Assessor availability

  • The specific standard and pathway

  • Any location or logistical requirements

Assessor Allocation and Booking

  • An EPA Coordinator will:

    • Assign an Independent End-Point Assessor

    • Create the EPA booking within ACE360

  • The assigned assessor will then:

    • Review and accept the booking

Confirmation and Communication

Once the assessor has accepted the booking:

  • The EPA Operations team will send an Outlook calendar invitation

  • This invite will be sent to:

    • The learner

    • The Independent End-Point Assessor

    • The training provider

    • The employer

The invitation will include all relevant assessment details, such as:

  • Date and time

  • Location (or virtual meeting details, where applicable)

  • Any additional instructions or requirements

These details are based on the information recorded in ACE360, so it is important that all learner and contact information is accurate and up to date.
