What evidence can I provide if the learner's name has changed?

If a learner’s name has changed during their apprenticeship, or since completing any relevant qualifications, additional evidence must be provided to verify their identity and ensure records can be accurately matched.

Acceptable Evidence of Name Change

Learners must provide official legal documentation confirming the change of name. Accepted forms of evidence include:

  • Deed poll documentation

  • Marriage certificate (or civil partnership certificate, where applicable)

These documents must clearly demonstrate the link between the learner’s previous name and their current name.

Submitting Supporting Evidence

When submitting evidence, providers should:

  • Upload the name change document alongside the relevant certificates (e.g. qualification certificates or gateway evidence)

  • Ensure that all documents are clear, legible, and complete

  • Check that the names across all documents can be clearly linked

This ensures EAL can verify that all evidence submitted relates to the same individual.

Important Considerations

  • Only formal, legal documentation will be accepted

  • Informal documents (e.g. letters, emails, or internal records) will not be sufficient

  • Failure to provide appropriate evidence may result in delays or rejection at gateway
