Session Scheduling & Confirmation

Once all documents and information have been verified, and the EQA Receipt document along with evidence of the project EQA authorisation has been uploaded by the centre into the 'Other Requests' section, you will be able to create a request for an exam time slot.


Step 1: Requesting a session

  • Navigate to the ‘Session View’ and select ‘Add a Session.’

  • Choose an available date from the Smart Days calendar.

  • Provide the candidate name and PD request in the ‘Session Name’ area.

  • Provide a request for a preferred date and time window (preferred start and end times of the assessment).

  • Select the appropriate site (ensuring you have an appropriate site added to your organisation in Smarter Booking) and you must select the tick box that states Require external review/visit before creating a session.

  • Finalise the session and confirm submission for your request for the preferred exam date.


Step 2: Assessment Planning Submission

  • Complete the Pre-Assessment Checklist to confirm details before requesting a Professional Discussion (PD).

  • Click ‘Request PD’ to submit the request.


Step 3: Assessor Allocation

  • An assessor will be assigned to you based on availability. Please note that your booking request indicates your preferred date; however, the actual exam date may differ if no assessors are available on your chosen day.

  • The assessment meeting link is generated and stored within Smarter Booking.

  • You will not receive the meeting link via email; you must access it through the Smarter Booking system.


Step 4: Final Confirmation

  • You will be notified once the booking is confirmed.

  • A final review ensures all steps are complete before the assessment proceeds.
